“Rockcliffe”, “The Company”, “Ourselves”, “We” and “Us”, refers to Rockcliffe University Consortium and any agents authorized to act on behalf of Rockcliffe University Consortium.

“Client”, “You” and “Your” refers to you, the person accessing this website service and accepting Rockcliffe’s terms and conditions.

“Website”, “Service”, “Website Service”, and “Community Service”  refers to this website, and other related websites, mobile applications, virtual environments, and other social meeting spaces, which collectively form a single service and for which Rockcliffe has direct control to administrate.

“Personal Information” refers to any piece of data that is about you including, but not limited to, physical characteristics, financial, legal status, geolocation details, career and academic details, or any other details that are unique to you as an individual.

“Personal identifiable information” refers to any piece of personal information that could be used by someone else to uniquely identify you or be used to imitate or impersonate you in a legal transaction.

“User Content” refers to any material, including without limitation text, images, audio material, video material and audio-visuals, that you submit to this service, for whatever purpose.

Rockcliffe operates the following domains, including all sub-domains, associated with the following

  • *.urockcliffe.com, .net, .org, .tv, .fm, .solutions, .press
  • *.conquester.com
  • *.erdests.com
  • *.ruc.today
  • *.confcenter.org
  • *.vwbpe.org
  • *.avatarstudio.info; and
  • *.sixthestate.info.

Collectively these domains form the primary Service which Rockcliffe administrates and is responsible for, in part, the content contained thereof. Rockcliffe does not assume responsibility for any User Content in accordance with our Terms of Use policy.

The service also includes third party websites and services. This would include but is not limited to, websites and services such as

  • Social media platforms such as Facebook, LinkedIn, Twitter, and Google+;
  • Desktop Utilities such as Webex, Sococo, and Join.Me;
  • Communication utilities such as TeamSpeak, Skype, and Instant Messenger;
  • Gaming Platforms such as Second Life, World of Warcraft, Minecraft, and Eve Online; and
  • Payment Gateways such as Paypal.

Collectively these websites and services form the secondary Service which Rockcliffe performs a community management function but for which Rockcliffe is not directly responsible for the operation or administration of. Rockcliffe does not assume responsibility for either the Terms of Use nor the Privacy Policy for any of these secondary services. It is your responsibility to be informed of any terms and conditions related to these websites and services prior to usage.

Rockcliffe is currently engaged in complying with the EU General Data Protection Regulation. We are making every effort to ensure that our vendors are providing us with updated software that is in compliance with the new regulations. If there is a concern about any information we are holding or collecting please contact our Privacy Officer.

Information Collection and Use

While using our service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Not every domain used by Rockcliffe has the same requirement for information collection and use. Further, as the Rockcliffe domains function as a single service, some or all information collected in one domain area may be shared with another domain area depending on the users level of access and requirements for service enablement.

For example, personally identifiable information collected when purchasing a membership (http://shops.urockcliffe.com) may be used to enable services within our professional membership portal (http://my.urockcliffe.com) and library (http://urockcliffe.net). The information may also be used to enable access to our Second Life community campus, LinkedIn communities, newsletters, and other features of the service.

The extent to which information collected will be used to enable services used will be outlined in your account profile and/or membership package. This information may be updated from time to time as new technologies become available and Rockcliffe’s service offerings increase to include these new opportunities.

Personally identifiable information collected may include, but is not limited to,

  1. information about your computer and about your visits to and use of this website including your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths;
  2. information that you provide to us when registering with our services;
  3. information that you provide when completing your profile on our website;
  4. information that you provide to us for the purpose of subscribing to our email notifications and/or newsletters;
  5. information that you provide to us when using the services on our website, or that is generated in the course of the use of those services;
  6. information relating to any purchases you make of our goods and/or services or any other transactions that you enter into through our domains;
  7. information that you post to our website for publication on the internet;
  8. the information contained in or relating to any communication that you send to us or send through our website including the communication content and metadata associated with the communication; and
  9. any other personal information that you choose to send to us;

Rockcliffe will endeavor only to collect the minimum amount of data needed to

  • administer our domains and business;
  • establish and maintain the service,
  • enter into a contractual obligation (e.g. memberships or purchases),
  • keep our website secure and prevent fraud;
  • verify compliance with the terms of use governing our service; and/or
  • any other purpose for which we are legally obligated to do so.

If you submit personal information for publication on our website, we will publish and otherwise use that information in accordance with the license you grant to us.

Your privacy settings can be used to limit the publication of your information on our website and can be adjusted using privacy controls on the website.

We will not, without your express consent, supply your personal information to any third party for the purpose of their or any other third party’s direct marketing.

All our website financial transactions are handled through our payment services provider, Paypal. You can review the provider’s privacy policy at https://www.paypal.com/va/webapps/mpp/ua/privacy-full. We will share information with our payment services provider only to the extent necessary for the purposes of processing payments you make via our website, refunding such payments and dealing with complaints and queries relating to such payments and refunds.

Security

The security of your Personal Information is important to us. While we strive to use commercially acceptable means to protect your Personal Information, you acknowledge that the transmission of information over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

Rockcliffe will take reasonable technical and organizational precautions to prevent the loss, misuse or alteration of your personal information. We will store all the personal information you provide on our secure servers. All electronic financial transactions entered into through our website will be protected by encryption technology.

Rockcliffe’s services are not restricted to a single geographic area. Personal information that you publish on our website, or submit for publication on our website may be available, via the internet, around the world. We cannot prevent the use or misuse of such information by others.

Information that we collect may be stored and processed in, and transferred between, any of the countries in which we operate in order to enable us to use the information in accordance with this policy. Information that we collect and use to provide a service may be transferred to countries which do not have equivalent data protection laws.

Currently, most information collected and used is stored and processed in the United States, however some third party services such as OpenSimulator, World of Warcraft, and others may operate in other jurisdictions.

Rockcliffe will provide information on services that are stored and processed outside the United States on a case by case basis unless otherwise noted in this policy. If a service is being provisioned as a shared resource, information on data storage and processing regions will be located on the main Rockcliffe website under “Virtual Environments”. If a service is being provisioned on a temporary basis for a single event, the event details with identifying the region in which that event is happening.

You are responsible for keeping the password you use for accessing our website confidential.

Rockcliffe Customer Support will never ask you for your password by any means.

You expressly agree to the transfers of personal information described in this Security Section.

Data Retention

Personal information that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes. All information at Rockcliffe is classified as one of six (6) distinct categories that may contain personal information

  • Corporate Administrative Records;
  • Corporate Records;
  • Corporate Records of Business Value;
  • General User Content;
  • User Content of Community Value;
  • Personal Identifiable Records;

Notwithstanding the other provisions of this Section, we will retain documents (including electronic documents) containing personal data to the extent deemed necessary and prudent:

  1. to the extent that we are required to do so by law;
  2. if we believe that the documents may be relevant to any ongoing or prospective legal proceedings; and
  3. in order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk).

Corporate Administrative Records

Personal information may be contained in administrative records required for Rockcliffe to manage the operations of the organization. Administrative records are generally time sensitive and have a limited life span. Personal information will be deleted as part of these records after 2 years of inactivity.

Corporate Records

The maximum retention period for legal records and supporting documentation varies from country to country. In the United States, the IRS recommends corporate legal records are retained for a minimum of 7 years. In others 10 years is common. Rockcliffe will retain Corporate Legal Records for a minimum of 7 years required by the IRS, and for an addition 2 years of inactivity thereafter, to a maximum of 10 years total.

Corporate Records of Business Value

Corporate records of business value refer to information content, that may or may not include personal information, which has some historical or specific significance (for example patents, copyrights, trademarks, etc.) and which need to be maintained longer than the 7 to 10 years for corporate records for governance, audit, and legal accountability purposes. These records may be archived after 7 years and retained indefinitely. However personal information not relevant to the information of business value will be removed upon archival.

General User Content

General user content, that may or may not include personal information, may be deleted after 7 years, after 2 years of inactivity, or upon request as per the EU General Data Protection Regulation requirements (effective May 25, 2018).

User Content of Community Value

User content which contributes to and/or expands the body of knowledge of the community and/or specific areas of practice may be archived after 7 years and retained indefinitely. However personal information not relevant to the content of community value will be removed upon archival.

Personally Identifiable Records

Personally identifiable records including user accounts, passwords, email addresses, contact details, financial data, and other administrative information will be deleted after 2 years of inactivity. Profile information necessary to establish the context of any User Content of Community Value may be archived after 7 years and retained indefinitely. However personal information not relevant to the content of community value will be removed upon archival.

Cookies

By using our website, you consent to our use of cookies in accordance with the terms of this policy. Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site and stored on your computer’s hard drive.

You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our online services.

We use cookies to store your personal preferences when using some components of our online services. We also compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future. We may also contract with third-party service providers (Google Analytics) to assist us in better understanding our site visitors. These service providers are not permitted to use the information collected on our behalf except to help us conduct and improve our business.

Changes To This Privacy Policy

Rockcliffe may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on the Site. You are advised to review this Privacy Policy periodically for any changes.
